1. General Provisions
1.1. This Privacy Policy (hereinafter referred to as the "Policy") governs the processing and protection of your Personal Data that we (MyMeet AI LLC), as the Operator, may receive when you use our Service and in any other interaction with us.
1.2. The processing of your Personal Data is carried out by MyMeet AI LLC (OGRN 1247700316038).
1.3. The security, confidentiality, and protection of your Personal Data is a top priority for our team. When you use our Service, we protect your personal data and process it in strict accordance with the laws of the Russian Federation and this Policy.
1.4. This Policy defines:
the list of your Personal Data that we process;
the purposes and methods of processing your Personal Data;
the measures taken to ensure the security of your Personal Data;
your rights regarding the processing of your Personal Data.
1.5. This Policy is intended for and applies to all individuals whose personal data we process: users of our Service, our employees, contractors, and any other persons interacting with us.
1.6. The Policy is compiled in accordance with the requirements of Federal Law No. 152-FZ dated July 27, 2006 "On Personal Data" and other applicable legislation of the Russian Federation.
1.7. We do not verify the accuracy of the Personal Data you provide. Responsibility for the accuracy of the data lies with you as the user of the Service.
1.8. We assume that the Personal Data is provided voluntarily, in good faith, and of your own free will and in your own interest.
1.9. If you are a User of the Service, we assume that you:
consciously use the Service on your own behalf and provide accurate information about yourself when required for registration and use of the Service;
have consciously configured and control the settings of the software and Device you use in accordance with your preferences regarding the protection of information stored in the browser, information about your hardware and software, and internet connection.
2. Terms and Definitions
Unless otherwise expressly stated in the text of the Policy, the following terms shall have the meanings set forth below:
2.1. Personal Data - any information relating to an identified or identifiable natural person (subject of Personal Data).
2.2. Personal Data Processing - any action (operation) or set of actions (operations) performed using automation tools or without them with Personal Data, including collection, recording, systematization, accumulation, storage, clarification (updating, modification), extraction, use, transfer (distribution, provision, access), anonymization, blocking, deletion, and destruction of Personal Data.
2.3. Service - the MyMeet AI platform designed for recording, transcribing, and summarizing your online meetings (audio and video files) using artificial intelligence, including the Service websites: https://mymeet.ai/ru and https://www.mymeet.ai/.
2.4. User - an individual or legal entity accessing the Service for its use.
2.5. You - a User or any other person whose personal data we process.
2.6. We / Operator - MyMeet AI LLC, OGRN: 1247700316038.
2.7. Account - the User's personal account in the Service used to access and utilize its functionality.
2.8. Device - any device that can access the Service, such as a computer, mobile phone, or digital tablet.
3. What Personal Data We Process
3.1. If you are a User, you provide us with your Personal Data in the following ways:
when registering an Account;
when using the Service (including without registering or logging in);
when paying for our services;
by consenting to receive our newsletters;
by filling out feedback forms, including bonus program forms;
by contacting us in any form and manner.
3.2. We collect the following Personal Data:
your full name (if provided);
your mobile phone number (if provided);
your email address;
if you register using third-party authentication (e.g., Google), we save your email address, name, and profile image URL from that platform;
cookies (see Section 9 of the Policy) and web beacons (including pixel tags);
usage data collected automatically while using the Service, including: IP address of your Device; Device type and unique identifiers; referral source; operating system; geographic location; browser type and version; browser plugins; language settings; pages visited; navigation paths; visit time and date; time spent on pages; and other diagnostic data collected by your Device and browser with your permission;
user analytics data collected via Yandex.Metrica;
audio and video recordings of online meetings on various platforms (Yandex Telemost, Zoom, Google Meet, etc.) and their content, which may include your voice and image depending on your settings and actions during the meeting;
transcript: text information generated after transcribing audio or video of your online meeting;
information you send us in your feedback and support requests;
your payment card data.
3.3. The specific list of Personal Data we process depends on whether you register an Account, the method of authorization, and how you use the Service.
3.4. We do not process biometric personal data for any purpose.
3.5. We do not intentionally process personal data of minors. Responsibility for the actions of minors lies with their legal representatives. All visitors under the age of 18 must obtain permission from their legal guardians before providing any personal information. If we learn that we have received Personal Data from a minor without proper consent, such data will be deleted as soon as possible.
4. Legal Grounds and Methods of Processing
4.1. We process your Personal Data:
with your consent;
to fulfill the contract (user agreement) for using the Service;
to comply with legal requirements.
4.2. You give your consent to the processing of Personal Data when registering an Account by checking the box next to the consent and the link to this Policy. You also consent to processing by the mere fact of using the Service.
4.3. If you do not agree with the Policy, you must stop using the Service.
4.4. During online meetings on relevant platforms (Yandex Telemost, Zoom, Google Meet, etc.), a bot from our Service connects for recording and transcription. This bot is visible to all participants. If any participant disagrees with the bot's use, they may leave the meeting. As the User, you are solely responsible for obtaining consent from all participants before recording.
4.5. We perform the following processing operations on your Personal Data: collection, recording, systematization, accumulation, storage, clarification (updating, modification), extraction, use, transfer (provision, access), anonymization, blocking, deletion, and destruction. These processing methods apply to all data processing purposes.

5.2. The Operator processes personal data for each of the specified purposes using the following methods:
non-automated processing of personal data;
automated processing of personal data, with or without transmission of the obtained information via information and telecommunication networks;
mixed (combined) processing of personal data.
6. Where and for How Long Your Personal Data is Processed
6.1. We record, systematize, accumulate, store, update (modify), and retrieve personal data of Russian Federation citizens using databases located within the territory of the Russian Federation.
6.2. If you are a User, we will generally retain your Personal Data for as long as your Service Account exists, unless otherwise stated in this Policy. This applies to all purposes of Personal Data processing. If the purpose for which the data was collected is achieved earlier, we will cease processing the Personal Data collected for that specific purpose.
6.3. Audio and video recordings of your online meetings on various platforms (Yandex Telemost, Zoom, Google Meet, etc.) are deleted immediately after the transcription process is completed. If transcription fails (i.e., the process is not completed), we retain the audio and video files for 3 calendar days, after which they are deleted.
6.4. Audio and video recordings of your online meetings, as well as the transcript (text information after transcription of the audio or video file), are stored exclusively using databases located in the territory of the Russian Federation.
6.5. Upon expiration of the above-mentioned storage periods, Personal Data is deleted from our (Operator’s) server. This applies to all purposes of Personal Data processing.
6.6. We cease processing Personal Data in the following cases:
the purpose of processing has been achieved;
the data was processed unlawfully, and this fact is identified — the processing will be terminated within 3 business days from discovery;
the retention period has expired or the data subject has withdrawn consent for processing.
7. Protection of Personal Data
7.1. The protection of your Personal Data is a top priority for our team. To this end, we:
process only the Personal Data that is necessary to achieve the purposes stated in this Policy;
implement legal, organizational, and technical measures to ensure the security of your Personal Data;
allow access to Personal Data only to employees whose job duties require it;
conduct regular audits and employee training regarding Personal Data security.
7.2. In most cases, your Personal Data is processed automatically without human access. If access is required, it will be granted only when necessary, only to the relevant employee, and only to the extent required for a specific task.
7.3. Our employees do not have access to audio or video recordings of your online meetings, their transcripts, or their content, unless you provide such data to us yourself (e.g., for technical support).
8. Your Rights Regarding Personal Data Processing
8.1. You have the right to:
freely decide whether to provide your Personal Data, consent to its processing, and receive communications;
request information from us about the processing of your Personal Data, unless restricted by Russian law;
withdraw your consent to the processing of your Personal Data at any time by emailing us at hello@mymeet.ai with the subject “Withdrawal of Consent for Personal Data Processing”;
request correction, blocking, or deletion of your Personal Data if it is incomplete, outdated, inaccurate, unlawfully obtained, or not necessary for the stated purpose, by notifying us at hello@mymeet.ai;
file a complaint with the Federal Service for Supervision of Communications, Information Technology and Mass Media (Roskomnadzor) or take legal action if you believe we process your Personal Data in violation of the law;
exercise other rights provided by applicable legislation.
8.2. We will review your request regarding your Personal Data within 30 calendar days, unless another period is specified in this Policy or by law.
8.3. You will be notified of the outcome of your request via your email address.
9. Cookies
9.1. Cookies are small text files sent by a web server to your Device when you use the Service.
9.2. We use cookies to ensure the effective and secure operation of the Service, to improve the Service, and to enhance your user experience.
9.3. When you first visit the Service, we will ask for your consent to use cookies via a pop-up notification. You may accept or decline their use. If you decline the use of cookies, some features of the Service may become unavailable to you.
9.4. If you initially accepted the use of cookies but later wish to change your decision, you may delete the cookies stored in your browser.
10. Transfer of Personal Data
10.1. With your consent, we may transfer your Personal Data to third parties or delegate its processing if it is necessary to provide Service functionality or to fulfill other processing purposes.
10.2. In the event of such transfer, we ensure that these third parties are bound by confidentiality obligations and comply with all applicable Personal Data processing requirements.
10.3. We transfer your Personal Data to the following third parties:

LLC “YANDEX”.
11. Updating, Correction, Deletion, Destruction of Personal Data; Responding to Requests
11.1. We will provide confirmation of the processing of your Personal Data, the legal grounds and purposes of processing, and other information specified in Part 7, Article 14 of Federal Law No. 152-FZ of 27.07.2006 “On Personal Data” within 10 business days from the date of your inquiry or request. This period may be extended by no more than 5 business days. In such a case, we will send you a reasoned notice explaining the cause for the extension.
11.2. If inaccurate Personal Data is identified following your request or a request from Roskomnadzor (the Federal Service for Supervision of Communications, Information Technology, and Mass Media), we will block the relevant Personal Data from the moment of the request for the period of verification—unless such blocking violates your or third parties’ rights and legitimate interests. If the inaccuracy is confirmed, we will update the data based on the information provided by you, Roskomnadzor, or other necessary documents within 7 business days and lift the block.
11.3. If we or Roskomnadzor identify unlawful processing of your Personal Data, we will block the unlawfully processed data related to you from the moment of receiving the request or notification.
11.4. If we, Roskomnadzor, or another concerned party detect unauthorized or accidental transmission (provision, distribution) of Personal Data resulting in a violation of your rights, we will:
within 24 hours, notify Roskomnadzor of the incident, its likely causes, the potential harm caused to your rights, and the actions taken to mitigate the consequences;
within 72 hours, report to Roskomnadzor the results of our internal investigation, including details of the individuals responsible (if identified).
11.5. We destroy Personal Data under the following conditions and within the following periods:
if the purpose of processing is achieved or no longer necessary — within 30 days;
upon expiration of the maximum retention period of documents containing Personal Data — within 30 days;
if you provide proof that the data was collected unlawfully or is not required for the declared purpose — within 7 business days;
upon your withdrawal of consent, provided that the data is no longer needed for its processing purpose — within 30 days.
12. Liability
12.1. If we are found to be in violation of personal data legislation, we will bear liability in accordance with applicable law.
12.2. We are not responsible for any unauthorized use of Personal Data or for any damages caused to you as a result of:
technical malfunctions in software, equipment, or networks beyond our control;
your intentional or unintentional use of the Service in a manner inconsistent with its intended purpose;
your failure to maintain the confidentiality of your Account data;
unauthorized actions of third parties in gaining access to your Account data.
12.3. We are not responsible for the processing of third-party Personal Data that a specific Service User provides as their own. In such cases, the user who submitted inaccurate data assumes full responsibility.
13. Links to Other Websites
13.1. The Service may contain links to other websites and services not operated by us.
13.2. We recommend that you review the privacy policies of each website or service you visit. We do not control and are not responsible for how your personal data is processed by third-party websites or services.
14. Dispute Resolution
14.1. If you have any questions or claims, please contact us before taking legal action by sending a complaint to hello@mymeet.ai or to our registered legal address.
14.2. This Policy and all matters related to the processing of your Personal Data are governed by the laws of the Russian Federation.
15. Other Provisions
15.1. We reserve the right to amend this Policy at our discretion. Any changes will take effect once the updated version is published on the Service. You are therefore required to review the Policy periodically for updates. The date of the current version is indicated at the beginning of the Policy.
15.2. If changes to the Policy result in additional obligations or limitations of your rights, we will notify you either through the Service or via communication channels.
