Privacy Policy and Personal Data Processing Policy of the MyMeet AI Service

1. General Provisions

1.1. This Privacy Policy (hereinafter referred to as the "Policy") governs the processing and protection of your Personal Data that we (LLC "MayMit AI"), acting as the Operator, may obtain when you use our Service and in any other interaction with us.

1.2. Your Personal Data is processed by LLC "MayMit AI" (OGRN 1247700316038).

1.3. The security, confidentiality, and protection of your Personal Data is a priority for our team. When you use our Service, we protect your personal data and process it in strict compliance with the legislation of the Russian Federation and the provisions of this Policy.

1.4. This Policy defines: the list of your Personal Data that we process; the purposes and procedure for processing your Personal Data; measures to ensure the security of your Personal Data; your rights regarding the processing of your Personal Data.

1.5. The Policy is intended for and applies to all persons whose personal data we process: users of our Service, our employees, contractors, and all other persons interacting with us.

1.6. The Policy has been drafted in accordance with the requirements of Federal Law No. 152-FZ of July 27, 2006 "On Personal Data" and other provisions of the legislation of the Russian Federation.

1.7. We do not verify the accuracy of the Personal Data you provide. Responsibility for the accuracy of the data provided lies with you as a user of the Service.

1.8. We proceed on the assumption that Personal Data is provided by you voluntarily, in good faith, of your own free will, and in your own interest.

1.9. If you are a User of the Service, we proceed on the assumption that you: consciously use the Service on your own behalf and accurately provide information about yourself to the extent and in cases required during registration in and use of the Service; have consciously determined and control the settings of the software and Device you use in accordance with your preferences regarding the protection of information stored on the browser side, information about your own hardware and software, and your Internet connection.

2. Terms and Definitions

In this Policy, unless the text expressly states otherwise, the following terms shall have the meanings set out below:

2.1. Personal Data — any information relating to a directly or indirectly identified or identifiable natural person (data subject).

2.2. Processing of Personal Data — any action (operation) or set of actions (operations) performed using automated tools or without such tools with Personal Data, including collection, recording, systematization, accumulation, storage, clarification (updating, modification), retrieval, use, transfer (distribution, provision, access), depersonalization, blocking, deletion, and destruction of Personal Data.

2.3. Service — the MyMeet AI platform designed for recording, transcribing, and summarizing your online meetings (audio and video files) using artificial intelligence, including the Service websites: https://mymeet.ai/ru and https://www.mymeet.ai/.

2.4. User — a natural or legal person gaining access to the Service for use thereof.

2.5. You — a User or other person whose personal data we process.

2.6. We / Operator — LLC "MayMit AI", OGRN: 1247700316038.

2.7. Account — the User's personal account in the Service, intended for gaining access to it and using its functionality.

2.8. Device — any device capable of accessing the Service, such as a computer, mobile phone, or digital tablet.

2.9. Bot — the specialized mymeet.ai AI bot that connects to the relevant online meeting on the VCS Platform to record the meeting.

2.10. Bot Customization Materials — the Bot's name, avatar, image, greeting message, and other textual, graphic, and visual elements that the User independently sets for the Bot's display when using the Service. To the extent that such information relates to a directly or indirectly identified or identifiable natural person, it may constitute Personal Data and is processed in accordance with this Policy.

3. What Personal Data of Users We Process

3.1. If you are a User, you provide us with your Personal Data in the following ways: when registering an Account; when using the Service (including when using the Service without registration or without logging into an Account, when using the Bot customization function, including when setting its display name, uploading an image or avatar, adding, changing, or disabling the greeting message and other Bot display parameters); when paying for our services; when granting consent to receive our newsletters; when filling out feedback forms, including the bonus program form; when contacting us in any form and by any means.

3.2. We collect the following Personal Data about you: your full name (where provided by you); your mobile phone number (where provided by you); your email address (e-mail); if you register in the Service using external authentication via other platforms (e.g., Google), we will save your email address, name, and profile image URL from that platform; cookies (see Section 9 of the Policy for more details) and web beacons (including pixel tags); usage data that is automatically collected when the Service is used, including: the Internet Protocol address of your Device (e.g., IP address); Device type and its unique identifiers; source of referral to the Service; operating system; geographic location; browser type and version; browser plugins; language settings; pages of our Service that you visit; navigation paths through the Service; the time and date of your visit; time spent on these pages; other diagnostic data collected by your Device and browser with your permission; user analytics data collected using the Yandex.Metrica service; audio and video recordings of online meetings on various platforms (Yandex Telemost, Zoom, Google Meet, and others) and their content, which may include your voice and image depending on your settings and actions when using the relevant online meeting platform; transcript: textual information obtained after transcribing the audio or video file of your online meeting; Bot Customization Materials, including its display name, avatar, image, greeting message, and other Bot display parameters — to the extent that such information relates to you or to another directly or indirectly identified or identifiable natural person; information about the fact, date, time, method of upload, modification, deletion, and use of Bot Customization Materials, as well as information about the relevant User Account, selected Tariff, Workspace, and VCS Platform used — to the extent necessary to provide Service functionality, handle inquiries, verify compliance with the Service terms of use, and protect the rights and legitimate interests of the Operator and third parties; information you may send to us in your inquiries and messages as part of feedback and use of the support service; your payment card data.

3.3. The specific list of your Personal Data that we process depends on whether you register an Account when using the Service or not, as well as on the method of authorization and use of the Service.

3.4. We do not process biometric personal data. This applies to all purposes of Personal Data use.

3.5. We do not intentionally process Personal Data of minors. Responsibility for the actions of minors lies with their legal representatives. All visitors under the age of 18 must obtain permission from their legal representatives before providing any personal information about themselves. If we become aware that we have received Personal Data of a minor without the consent of their legal representatives, such information will be deleted by us as soon as possible.

4. Legal Grounds for Processing Your Personal Data and Methods of Processing

4.1. We process your personal data: with your consent; for the purpose of performing the agreement (terms of service) for use of the Service; for the purpose of complying with the provisions of legislation.

4.2. You provide your consent to the processing of your personal data when registering an Account by checking the checkbox next to the consent and link to the Policy. You also provide your consent to the processing of your personal data by your actual use of the Service.

4.3. If the User does not agree with the terms of the Policy, the User ceases to use the Service.

4.4. When conducting an online meeting on the relevant platform (Yandex Telemost, Zoom, Google Meet, and others), our Service Bot connects for recording and subsequent transcription. This Bot is visible to all participants of the online meeting. If any participant of the online meeting does not consent to the use of the Bot, they have the option to leave the meeting. As a User using the Service to record online meetings, you are independently responsible for obtaining the consent of all participants of the online meeting prior to the commencement of recording.

If the User uses the Bot customization function, the display parameters set by the User, including the name, avatar, image, greeting message, and other Bot Customization Materials, may be displayed to participants of the relevant online meeting in the Service interface and/or the relevant VCS Platform.

As a User using the Service to record online meetings and configure Bot display parameters, you are independently responsible for having appropriate legal grounds to use the personal data of third parties that may be contained in Bot Customization Materials, as well as for obtaining the necessary consents and permissions prior to the use of the relevant functionality.

By using the Bot customization function, the User understands and agrees that Bot Customization Materials may be technically transmitted to the relevant VCS Platform and become accessible to participants of the online meeting to the extent necessary to display the Bot when using the Service.

4.5. We perform the following actions in processing your personal data: collection, recording, systematization, accumulation, storage, clarification (updating, modification), retrieval, use, transfer (provision, access), depersonalization, blocking, deletion, and destruction of personal data. These processing methods apply to all purposes of Personal Data processing.

5.2. The Operator processes personal data for each purpose of processing using the following methods: non-automated processing of personal data; automated processing of personal data with or without transmission of the obtained information via information and telecommunications networks; mixed processing of personal data.

6. Where and for How Long Your Personal Data Is Processed

6.1. We perform the recording, systematization, accumulation, storage, clarification (updating, modification), and retrieval of personal data of citizens of the Russian Federation using databases located on the territory of the Russian Federation.

6.2. If you are a User, as a general rule we will retain your Personal Data for as long as you have an Account in the Service, except as otherwise provided in the Policy. This applies to Personal Data for all processing purposes. If any of the purposes for collecting Personal Data is achieved before the said period, we will cease processing the Personal Data collected for such achieved purpose.

6.3. Audio and video recordings of your online meetings on various platforms (Yandex Telemost, Zoom, Google Meet, and others) are destroyed by us immediately after the transcription process is completed. If the transcription process fails (processing is not completed), we retain audio and video files for 3 calendar days, after which we destroy them.

6.4. Audio and video recordings of your online meetings, as well as the transcript (textual information obtained after transcribing the audio or video file of your online meeting) are stored by us only using databases located on the territory of the Russian Federation.

6.5. Upon expiry of the above-mentioned processing periods, Personal Data shall be destroyed by erasure from our (the Operator's) server. This applies to Personal Data for all processing purposes.

6.6. We cease processing personal data in the following cases: the purpose of their processing has been achieved; the fact of their unlawful processing has been identified — within 3 business days from the date of identification; the validity period of the personal data subject's consent to the processing of said data has expired or such consent has been withdrawn.

7. Protection of Personal Data

7.1. The protection of your Personal Data is a priority for our team. To this end, we: process only those Personal Data that are necessary for us to achieve the purposes specified in the Policy; apply legal, organizational, and technical measures to ensure the security of your Personal Data; permit only those employees whose job duties include the processing of personal data to carry out such processing; regularly conduct security audits of personal data processing procedures and provide employee training on this subject.

7.2. In most cases, your Personal Data is processed automatically without any of our employees accessing it. If any employee needs access to your Personal Data, such access will be granted only when necessary, only to that employee, and only to the extent strictly required to perform a specific task.

7.3. Our employees do not have access to the audio and video recordings of your online meetings, their transcripts, or their content at any time, except in cases where you yourself provide us with such data (for example, for technical support purposes).

8. Your Rights Regarding the Processing of Personal Data

8.1. You have the right to: freely decide whether to provide your Personal Data, give consent to their processing, and to receive newsletters; obtain from us information concerning the processing of your Personal Data, unless such right is restricted in accordance with Russian legislation; withdraw consent to the processing of your Personal Data at any time by sending us a notification to the email address hello@mymeet.ai with the subject line "Withdrawal of consent to the processing of personal data"; demand that we clarify, block, or destroy your Personal Data if the Personal Data is incomplete, outdated, inaccurate, unlawfully obtained, or is not necessary for the stated purpose of processing. To do so, you must notify us at the email address hello@mymeet.ai; appeal our actions regarding your Personal Data to the Federal Service for Supervision of Communications, Information Technology, and Mass Media (Roskomnadzor) or through the courts if you believe that we are processing your Personal Data in violation of legislative requirements; exercise your other rights provided for by legislation.

8.2. Your request regarding your Personal Data shall be reviewed by us within 30 calendar days from the date of such request, unless a different period is established in the Policy or by law.

8.3. You will receive notification of the results of the review of your inquiry or request at your email address.

9. Cookies

9.1. Cookies are small text files transmitted by a web server to your Device when you use the Service.

9.2. We use cookies to ensure the efficient and secure operation of the Service, and to improve the Service and your user experience.

9.3. Upon your first visit to the Service, we will request your consent to the use of cookies via a pop-up notification. You may approve or decline their use. If you decline the use of cookies, some features of the Service may become unavailable to you.

9.4. If, after having approved the use of cookies, you wish to change your decision, you will be able to delete the cookies stored in your browser.

10. Transfer of Personal Data

10.1. With your consent, we may transfer your Personal Data to or entrust their processing to third parties, where necessary to provide you with Service functionality or to fulfill other processing purposes.

10.2. In the event of transfer of Personal Data to third parties, we guarantee that such persons will be bound by confidentiality obligations and will comply with all requirements for the processing of Personal Data.

10.3. We transfer your Personal Data to the following third parties:

— LLC "Cloud Technologies";

— LLC "YANDEX".

11. Updating, Correction, Deletion, Destruction of Personal Data and Responses to Requests

11.1. We provide you with confirmation of the fact of personal data processing, the legal grounds and purposes of personal data processing, and other information specified in Part 7 of Article 14 of Federal Law No. 152-FZ of July 27, 2006 "On Personal Data", within 10 business days from the date of your inquiry or receipt of a request from you. This period may be extended, but by no more than 5 business days. To do so, we will send you a reasoned notification stating the reasons for extending the period for providing the requested information.

11.2. If inaccurate personal data is identified upon your inquiry/request or upon a request from Roskomnadzor, we block the personal data relating to you from the moment of such inquiry or receipt of said request for the duration of the verification, provided that blocking the personal data does not violate your rights and legitimate interests or those of third parties. If the inaccuracy of the personal data is confirmed, we, on the basis of the information provided by you or Roskomnadzor, or other required documents, clarify the personal data within 7 business days from the date such information is provided and lift the blocking of the personal data.

11.3. If unlawful processing of personal data is identified upon your inquiry (request) or that of Roskomnadzor, we block the unlawfully processed personal data relating to you from the moment of such inquiry or receipt of the request.

11.4. If we, Roskomnadzor, or another interested party identifies the fact of unlawful or accidental transfer (provision, dissemination) of personal data resulting in a violation of your rights, we: within 24 hours — notify Roskomnadzor of the incident, the presumed causes, the presumed harm inflicted on your rights, and the measures taken to remedy the consequences of the incident; within 72 hours — notify Roskomnadzor of the results of the internal investigation of the identified incident and provide information about the persons whose actions caused it (if available).

11.5. We destroy personal data under the following conditions and within the following timeframes: achievement of the purpose of personal data processing or loss of the necessity to achieve such purpose — within 30 days; expiry of the maximum retention periods for documents containing personal data — within 30 days; provision by you of confirmation that the personal data was obtained unlawfully or is not necessary for the stated processing purpose — within 7 business days; withdrawal of your consent to the processing of personal data, where their retention for the purpose of processing is no longer required — within 30 days.

12. Liability

12.1. If we are found to be guilty of violating the requirements of personal data legislation, we shall bear the liability provided for by legislation.

12.2. We shall not be liable for the possible misuse of Personal Data or any harm caused to you as a result of: technical failures in software and technical means and networks beyond our control; your intentional or unintentional use of the Service for purposes other than its intended purpose; failure to maintain the confidentiality of Account credentials; unlawful actions of third parties in gaining access to Account data.

12.3. We shall not be liable for the processing of Personal Data of third parties that a particular User of the Service reports as their own. The risk of being held liable in such case lies with the User of the Service who provided false data.
