Industry: Product IT (AI/Gaming) · Application: HR processes, exit interviews, health-checks
"You don't have to hold an enormous amount of information in your head — that reduces anxiety and increases effectiveness. The time we save can be spent on strategy and HR projects."
— Elena, HR Business Partner, Deeplay
About the Company
Deeplay is a product IT company with around 1,000 employees. They build AI animators for card games — poker, bridge, preferans — with algorithms that adapt game behavior to each player's individual preferences. The team has been working with artificial intelligence since 2018, well before the topic went mainstream. Two teams within the HR function use mymeet.ai: 9 HR business partners and 9 recruiters, each with their own separate workspace.
From 40 minutes to 3 per meeting · Up to 1,800 meetings per month processed by a team of 9 HRs · Health-check cycle 10x faster
The Challenge
HR business partners at Deeplay run meetings where recording actively gets in the way: one-on-one health-checks, onboarding checkpoints, exit interviews. Turning on a recorder or saying "I'm recording you" directly reduces the employee's candor. But taking notes by hand isn't much better: you lose eye contact, the person sees you're distracted, and they close off.
Previously, the team relied on a phone voice recorder and external transcription services. Recordings had to be manually transferred to a laptop, processed through a service, and the output would come back as "Speaker 1, Speaker 2" instead of actual names. Every one-hour interview added 30–40 minutes of post-processing. Some information was lost regardless.
"It was awful. Sitting in a meeting typing like a stenographer — uncomfortable. But you can't turn on a recording: the employee just isn't as open after that."
— Elena, HR Business Partner
The Solution
The team connects mymeet.ai through a browser extension — the bot joins meetings invisibly, without appearing as a separate "guest" in Google Meet. For health-checks, this is critical: the conversation stays natural and the employee doesn't shut down. After the meeting, mymeet.ai automatically splits the transcript by participant — not "Speaker 1," but the actual name of the manager, mentor, or employee — and generates a follow-up that requires no additional editing.
On top of that, HR partners built their own workflow: the transcript goes into ChatGPT via a pre-built prompt and comes back in the required format — for onboarding assessments, for instance, that's six standard question blocks with responses separated by mentor, manager, and employee. The results are then transferred to the employee card in the internal system.
An unexpected benefit emerged on the management side. The head of the HR function has manager-level access in the mymeet.ai workspace: she can see all of her team's meetings and selectively review any recording to audit the quality of an HR partner's work. Previously that kind of oversight was impossible — a manager simply isn't present at employee meetings.
Before committing, the team tested several services in parallel:
"I compared transcripts and follow-ups from the same meeting. mymeet.ai produces a follow-up you can copy and paste. The others? Raw output. You look at it and think: was I actually at this meeting?"
— Elena, HR Business Partner
The Results
13x faster meeting processing — from 30–40 minutes down to 3. Up to 40 minutes of pure time savings per meeting
Health-check cycle for a team of 10 is 10x faster — processing all interviews used to take around 5 hours; now it takes 30 minutes to an hour. Each HR partner runs up to 100 such cycles per year
Up to 1,800 meetings per month processed by 9 HR business partners: 6–10 meetings per day × 20 working days. Plus another ~30 hours of monthly syncs with team leads, where mymeet.ai saves 10–15 minutes each
Beyond speed, there's been a mental shift: HR partners have stopped worrying about missing something in a meeting, and no longer have to keep the details of dozens of conversations in their heads. Employees experience a real conversation rather than a dictation session. The recruiting team, incidentally, started using mymeet.ai six months to a year earlier — and reached the same conclusions independently.
"The manager has admin rights — she can see all our meetings and selectively drop into the workspace to audit HR quality. When I told the manager about this capability, it was a very compelling argument."
— Elena, HR Business Partner, Deeplay
Deeplay uses mymeet.ai across two HR teams for exit interviews, health-checks, onboarding checkpoints, and manager syncs.
