Industry: Systems Consulting for FMCG Retail · Application: Client meeting protocols, expert interview digitization for audits, project knowledge base, training
"Some days there were five client meetings — different projects, different clients. By evening you couldn't tell what had happened. With mymeet.ai, the meeting ends — 15 minutes, outcomes captured, everything clear. And you move on."
— Roman Ryabenko, Commercial Director, Team4Retail
About the Company
Team4Retail is a systems consulting firm serving major FMCG retail clients. Their target clients are chains of 100–200+ stores and the top-100 grocery retailers in Russia. Projects are long and multi-month, with deep expert interviews on the client side. The firm runs 4 mymeet.ai accounts across sales and business development, client support, the director, and the head of support and development.
4× faster meeting post-processing · digital knowledge base for every client · 100% of training digitized
The Challenge
Team4Retail's commercial director runs up to five client meetings a day, each for a different project: a regional FMCG leader one hour, a retail chain the next, then an internal strategy session. Average post-processing time per meeting: 1.5–2 hours — writing the protocol, distributing tasks, sending the follow-up email. At five meetings a day, that's a full working shift spent on administrative catch-up.
Details still slipped through: what one person said in one department at one meeting is something nobody remembers a month later — but at project sign-off, those details are critical.
"It's crucial not to miss the details — that's where everything lives. The ability to go back to early recordings and analyze what someone was actually saying in meetings — that's deep negotiation analysis."
— Roman Ryabenko, Commercial Director
The Solution
At Team4Retail, mymeet.ai is not a recording tool — it's the company's project knowledge base. The team built four layers around it.
Layer 1 — Core workflow. mymeet.ai is integrated with Google Calendar and Yandex.Telemost and joins meetings automatically. After each meeting, the team has a protocol with action items ready to send to all participants in 20 minutes. The same flow applies to brainstorms, strategy sessions, and weekly steering committee calls with client leadership.
Layer 2 — Negotiation campaign analysis. A long project means dozens of meetings with the same stakeholders. When the question arises "why isn't communication working with this particular person?", the team pulls up five prior transcripts and sees exactly what that person has been saying from the start. That's no longer note-taking — it's working with negotiation history.
Layer 3 — mymeet.ai as part of what the firm sells. The tool moved beyond capturing meetings and into the consulting work itself. During client audits, the team records expert interviews directly at client offices, runs dozens of hours of conversation through an AI, and comes back with queries like "pull everything related to procurement decision-making in this category." One major audit processed 54 interviews in a single week; the depth of analysis was such that the client was surprised the team had surfaced something only one person in one department even knew.
"It's a completely different level of work. If you sat the three of us down to handle these notes by hand — we would never get that level of completeness."
— Roman Ryabenko, Commercial Director
Layer 4 — Training and onboarding. Weekly Friday meetups under the internal "individual development plan" program are fully digitized — video and transcript. Instead of watching hours of recordings to find one piece of information, a new team member can get a structured summary ready for AI-assisted analysis.
"In a sense, it's cheaper and more effective to send someone to independently study verified material with analysis than to station a specialist consultant next to them."
— Oleg Voronov, Service Manager
The Results
4× faster post-processing — from 1.5–2 hours down to 20 minutes. A manager can prepare the protocol and distribute action items to all participants in half an hour. At five meetings a day, that's a full working shift reclaimed
100% of training digitized. The legacy video archive was run through mymeet.ai; new meetups are captured automatically. An hour of scrubbing through a recording to find one fact has become a two-minute conversation with an AI agent
Transparency with clients. The meeting protocol has become a trust instrument — everything discussed goes out in a letter signed off by all participants
The core shift: Team4Retail now has a digital knowledge base for every client. Any recording can be revisited six months later — to track a stakeholder's position over time, defend project scope at sign-off, or surface a topic across dozens of meetings in a single query. What used to live in team members' heads has become an asset the firm monetizes — depth of analysis is now part of what clients pay for.
"Our service level in how we approach clients is higher than our competitors' — and that's partly because of the protocols and the deeper analysis of business needs."
— Oleg Voronov, Service Manager, Team4Retail
Team4Retail uses mymeet.ai for client meeting protocols, expert interview digitization during consulting audits, negotiation campaign analysis, and team training. Their clients are major FMCG retailers.
